Sprachschule Ikarus Wien is a growing language academy specialized in German, English and Spanish courses in small groups. We are looking for a proactive, organized and detail-oriented Administrative, Operations & Executive Assistant to support the daily management of the school and work directly with the Managing Director.
Your tasks
- Student communication via email, WhatsApp and phone
- Course administration and scheduling
- Support with WAFF and funding-related administration
- Preparation and organization of documents and invoices
- Assistance with events and marketing activities
- Executive assistance to the Managing Director
- Calendar management and appointment coordination
- Preparation of reports, presentations and internal documents
- Support in strategic and operational projects
- Quality Management and continuous improvement of internal processes
- Ensuring high service standards for students and corporate clients
- General administrative and organizational support
Your profile
- Excellent organizational and communication skills
- Strong attention to detail
- Fluent German (C1+) and English (C1+)
- Ability to work independently and take ownership of tasks
- Structured and solution-oriented mindset
- Experience in administration, office management, project coordination, executive assistance or quality management is an advantage
- Spanish is a plus
